First login and setup

This page takes you from a fresh install to the first real ticket. Do the steps in order: later settings read from earlier ones.

1. Sign in and turn on two-factor

  1. Open https://your-domain/login/admin and sign in with the superadmin account the installer created.
  2. Open your security page and add an authenticator app or a passkey.
  3. Save the recovery codes somewhere offline. Do not keep them only inside the app you would be locked out of.

The superadmin bypasses the permission matrix. Keep the number of superadmins small and never share the account.

2. General settings

Open Configuration › General. These values appear on invoices, emails and the client portal.

Group What to set
Company Legal name, trading name, address, tax registration, logo
Localization Timezone, date format, currency, first day of week
Security Session lifetime, password policy, two-factor enforcement, lockout thresholds
Mail From name and address, reply-to, footer
Notifications Default channels for each event type
Defaults Default ticket priority, category, payment terms and tax
Numbering Prefixes and next numbers for tickets, invoices, quotes and purchase orders

Then set your branding and email.

3. Shape the help desk

  1. Categories, statuses and tags. Keep categories to a dozen or fewer, each one something you want a report on. See Tickets and the queue.
  2. Opening hours. The SLA clock runs in these hours unless a contract says otherwise.
  3. Taxes. Create one rate per jurisdiction and set the default.
  4. Payment providers. Connect Square or Stripe if clients will pay online. See Payments and reminders.

4. Set up your team

  1. Review the default groups in Access › Groups & Permissions against the jobs your staff actually do. See Users, groups and permissions.
  2. Invite your technicians. Each person sets their own password from a single-use link.
  3. Require two-factor for all staff under Configuration › General › Security.

5. Add your first client

  1. Create the client with its legal name and primary site.
  2. Add the primary contact and any other contacts.
  3. Add a contract with the client's SLA targets. See Contracts and retainers.
  4. Invite one or two client users to the portal, at the right access level.

6. Check before you go live

  • Send a test email and confirm it arrives. Check the mail queue for failures.
  • Email your support address from an outside account and confirm a ticket appears.
  • Raise a draft invoice and check the company details, tax and numbering.
  • Confirm the scheduler runs: a recurring ticket or reminder generates on time.
  • Schedule backups, and do one test restore.
  • Connect your RMM and confirm devices arrive. See RMM and monitoring.
  • Walk one pilot client through the portal.
