Payments and reminders

Billing › Payments records money received: online, in person or by transfer. Recording a payment against an invoice moves it to Part paid or Paid by itself.

Online card payments

Clients can pay invoices from the client portal through Square or Stripe, using your own account with the provider. The money goes straight to you.

Connect a provider

  1. In your Square or Stripe dashboard, create API keys with payment access only.
  2. In CVN PSA, open Configuration › Payment Providers and paste the keys into the provider's card. Keys are encrypted at rest.
  3. Copy the webhook address shown on the card into the provider's webhook settings, and paste the provider's webhook signing secret back into CVN PSA.
  4. Make a small live payment against a test invoice, then refund it in the provider's dashboard. Square also has a sandbox mode for testing first.
  5. Check that the payment appeared on the invoice and that the webhook was received.

When a client presses Pay now, the app creates a checkout for the balance due and sends the client to the provider's payment page. The provider then calls your webhook. The app checks the provider's signature on every webhook and rejects any request that fails, before anything is recorded. With no signing secret saved, every webhook is refused. See Webhooks.

Payment methods

Finances › Payment Methods lists how clients may pay you, such as card, bank transfer or cash. Enable only methods your bookkeeping actually reconciles.

Overdue reminders

Automatic reminders email clients about unpaid invoices on a schedule you set.

  1. Open the finance settings and turn on reminders.
  2. Set the schedule as days relative to the due date. The default is 0,7,14,30: on the due date, then 7, 14 and 30 days overdue. A negative number sends a reminder before the due date.
  3. Edit the reminder wording under Configuration › Templates › Email if you want to.

The rules that stop reminders becoming spam:

  • At most one reminder per invoice per day.
  • A reminder is sent only on a day that exactly matches a step in the schedule. If the scheduler misses a day, that step is skipped rather than sent late in a burst.
  • Never for an invoice that is paid, draft, void or switched off for reminders.
  • A reminder that fails to send is not marked as sent. Check the mail queue for failures.

Reminders run once a day at 08:00.
