Email templates

Every email CVN PSA sends is a template you can edit: invitations, sign-in codes, password resets, ticket updates, invoices, quotes, receipts, reminders, digests and alerts. Each one is a list of blocks drawn inside one branded frame, so a change to your logo or colours reaches every email at once.

Open Configuration › Templates › Email & documents. The Website area lists it too, as Doc & Email Templates.

Blocks

An email is built from these blocks. Add, remove and reorder them, and pick an accent colour for the email or keep your brand colour.

Block What it shows
Logo header Your logo and company name
Heading A title line
Text Paragraphs, with merge fields
Button A link button with its own label
Callout A boxed title and note
Image A picture
Divider and spacer A rule, or extra space
Custom HTML Your own markup
Footer Your address, sign-off and footer note

Data sections

Some blocks draw the facts the email exists to carry: the invoice lines and amount due, a sign-in code, a set-password link. They fill themselves when the email is sent. When an email depends on one, that block is locked: you can move it but not delete it, and a template without it cannot be saved.

Merge fields

Tags such as {{client.name}}, {{invoice.ref}} and {{action.url}} are replaced when the email is sent. Click into a field, then click a tag to insert it.

Each email offers only the tags it can fill. The Merge fields tab lists every tag. A tag the email cannot fill is flagged in the editor and sends as blank.

Preview and test send

  • The preview is drawn by the server with sample data, through the same code a real send uses, and includes edits you have not saved yet. Switch between desktop and phone widths, or open it in a new tab.
  • Send test… delivers the saved version to any address with [TEST] in the subject. It works even when the email is switched off.

Switch off, duplicate and reset

  • On/off stops that email being sent. The in-app record is still written. Sign-in emails (invitations, password resets and verification codes) cannot be switched off.
  • Duplicate makes a copy that keeps the original's data sections and tags. Only copies can be deleted.
  • Reset to default removes your edit and brings back the packaged version. Emails you have not changed pick up improvements in later releases.

Brand & logo holds the logo, business name, contact details, address, accent colour, sign-off and footer note that every email shares. They are the same values as Configuration › General › Company, so you change them in one place. See Branding and white-label.
